Executive II - Corporate Governance and Administration

Established in 2009, Hong Kong Green Building Council (“the Council”) is the leading body, co-founded by four major construction industry and environmental organisations, driving the market transformation towards green and sustainable buildings in Hong Kong through engagement with the industry, the government and broader community.

HKGBC is expanding its secretariat team in line with its positioning as Hong Kong's leading member-based body dedicated to green building development, with opening for the post of Executive II - Corporate Governance and Administration:

Key Roles:
  • Report to Head of Finance and Administration and Assistant Manager – Corporate Governance and Administration in Finance and Administration Department
  • Provide administration and secretarial support to: 
    • various meetings of Board and Committees and general meeting of Council’s members, including drafting of minutes and resolutions, coordinating logistics of meetings and attending the meetings; and
    • any other company secretarial work as assigned
  • Attend to general office administration duties covering: 
    • procurement and upkeep of office supplies and services and liaising with suppliers; 
    • negotiating with vendors regarding general office cleaning, security, repair and maintenance;
    • managing service contracts & upkeep control registers;
    • handling calls, courier and mails;
    • attending to office renovation/staff workstation relocations; and 
    • any other general office duties as assigned
Requirements: 
  • Degree holder in English language or related discipline preferred 
  • 1 to 2 years of working experience, preferably in company secretarial or administrative role, fresh graduates will be considered
  • Proficiency in written and spoken English and Chinese
  • Diligent, well organised, detail-oriented, able to multi-task and meet tight deadlines
  • A team player with good interpersonal and communication skills 
  • Proficiency in Microsoft Word, Excel, PowerPoint, Adobe and general IT skills
  • Candidate with more experience will be considered as Senior Executive - Corporate Governance and Administration

Job Description:

Supporting the Head of Green Labelling to manage BEAM Plus and BEAM Practitioner matters, in particular scheme operation, IT service management and data analytics.

BEAM Plus Certification
  • Manage the issuance of BEAM Plus scheme documents, including payment advices, acknowledgement letters, certificates, plaques, labels and stickers
  • Manage the post-certification customer satisfaction survey including relevant subsequent analysis
  • Carry out data analytics of certification results to support various functions
Communication with Practitioners
  • Maintain various registers of BEAM Practitioners including their CPD compliance records
  • Manage practitioner renewal matters including issuing of mail merge emails, receiving payments, receiving CPD records and other renewal e-forms
  • Answer enquires from BEAM Practitioners about their personal accounts / BEAM project accounts / CPD events / BEAM registration and certification matters
Publicity Initiatives for BEAM Plus
  • Assist to manage BEAM Plus online exhibition website, BEAM Plus Existing Buildings resource website, BEAM Plus project directories (Power BI) and other net-based materials
  • Assist to manage various BEAM related websites such as practitioner recruitment website, project registration website and other information webpages
  • Contribute to the annual HKGBC publication of “Green Building in Action” by performing statistical analysis
Financial Management
  • Assist to plan and update the relevant parts of the GLC budget
  • Monitor expenses and ensure projects are within budget
General Duties
  • Manage incoming registration and outgoing certification for the BEAM Plus green building rating scheme
  • Maintain BEAM Plus project database and conduct research, analysis and reporting of data
  • Maintain the registers of various kinds of BEAM Practitioners
  • Manage related IT systems including BEAM Practitioner accounts, annual renewal of CRM platform subscription for BEAM project accounts, CRM IT backup term contract; other continual improvements of IT platforms, etc. 
  • Supervise the work of subordinates including junior staff and part-time helpers
  • Perform duties under ISO9001 quality management system including receiving quality training and conducting quality audits
  • Support the organising of CPD webinars (or other forms of events) for BEAM Practitioners, handle the related video recordings and manage the on-line training portal that contains the video archives
  • Any other duties assigned by the Department Head
     
Requirements: 
  • A good University degree,  preferably in the field of science, mathematics or equivalent
  • At least 5 years’ proven experience in relevant administrative functions, of which at least 2 years shall be at supervisory level
  • Previous experience in website and IT service (e.g. Salesforce CRM) management is an advantage
  • Proficient in IT skills such as Jotform and mail merge
  • Proficient in Microsoft Excel, ideally with knowledge in related analytical, statistical and graph production functions
  • Knowledge in Adobe Illustrator, Adobe Premiere Pro and MS Power BI would be desirable
  • Knowledge about green building or the building industry would be an added advantage
  • Good interpersonal skills

Job Description
Assisting the Head of Marketing, to plan, organise and execute all marketing related duties including:

Key Roles:
  • To organise and follow through the planning, budget control, execution and logistic arrangements of various types of events, including large scale international and regional conferences, award presentations, press conferences, exhibitions, public campaigns, seminars and site visits, etc
  • To manage corporate communications channels, including corporate website and email marketing, etc
  • To assist in developing various online and offline marketing collaterals from conception, content development to layout design
  • To prepare editorial contents such as council announcement, speeches, presentations, monthly e-newsletter, etc
  • To assist in being the brand guardian and promoting the brand of the HKGBC
  • To manage the various membership database and related registration and renewal
